The type of personal information we collect
We currently collect and process the following information:
- Personal account information for users of our system (name, email and - optionally - phone number) (Portfolio/Pathways/Surveyor Pro user accounts)
- Housing data for client-managed homes (Portfolio only). This is provided by the landlord, and may supplemented by EPC Open Data data set (see below)
- Information about UK EPCs from the Open EPC data set . Where property data includes an address we treat it as personal data (Pathways, optionally Portfolio as above)
- Information about how users use the site. (Portfolio/Pathways/Surveyor Pro)
- Occupancy information about homes, including occupancy and heating pattern, used to improve energy advice (Surveyor Pro, optionally Portfolio as above)
How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
- Personal account information, used to allow you to access and use the service
- Housing data for client-managed homes, this is the basis for the calculations and analysis results which form the core of the service
- Information about how users use the site, used by us to improve the service, and investigate possible security incidents
- Occupancy information about homes, used to improve the quality of retrofit advice as applicable for individual residents
We also receive personal information indirectly, from the following sources in the following scenarios:
- Information about UK EPCs from the Open EPC data set , used as the basis for the calculations and analysis results supplied to organisations with a remit to improve homes across a given area.
We may share:
- housing data, including housing data derived from EPC data, with Bays Consulting so that they may derive data-science insights for you into likely incidence of HHSRS risks. This will only be done at your explicit request.
- We share EPC data with our clients to allow us to provide our service to them.
- You may allow users from other organisations to access your data in order that they may provide services to you. These users are only allowed access at your explicit written request, and are subject regular audits as are all users.

How we store your personal information
Your information is securely stored in the UK, and we have a robust Information Security Policy to ensure this security.
Data retention:

We keep Housing data for client-managed homes, Information about how users use the site, and Personal Account Information and Occupancy information about homes until you:
- cancel your contract
- confirm that you do not intend to renew at any point in the future or
- request that we delete your data.
- As above you are responsible for maintaining consent for holding, and for us holding and processing Occupancy information about homes. You can delete this information at any time or we wil delete this information on request at any time.
- We keep Information about UK EPCs indefinitely in line with Parity's aims to provide a complete and up-to-date data set of UK housing to provide advice to individuals and clients, subject to our obligations under the law and as set out at the Open EPC data set website.
- We use our best endeavours to keep information up to date. This is a key part of our service for housing data, and user data is subject to regular audit.
Your data protection rights
Under data protection law, you have rights including:
